A booking app must do more than display an available time. It needs to reserve the correct resource, show the customer whether the appointment is confirmed, and keep staff informed when a booking changes. The calendar screen is only the visible part of those decisions.
If you are hiring a booking app development company, bring examples of ordinary appointments, cancellations, and scheduling conflicts. This guide uses a fictional in-person service business to explain the implementation. It is not a healthcare scheduling specification or a claim of a delivered Catapult project.

SECTION 01
Define availability around the real resource
A valid slot may require a staff member, a room, equipment, and a preparation buffer. Write down the service duration, capacity, working hours, blocked periods, and lead-time rules. Decide who can override them. A calendar API can exchange events; it does not automatically understand your business's scheduling policy.
Google Calendar documents event identifiers, start and end times, recurring instances, and time zones. These are useful reference concepts even if another provider is chosen. Store the intended location's time zone and test daylight-saving changes where relevant. Show the customer the appointment's time zone before confirmation, especially when users travel.
| Decision | Example question | Failure to test |
|---|---|---|
| Capacity | One customer, a group, or several linked resources? | Two people request the final place. |
| Duration | Does the service need preparation or cleanup time? | Appointments appear free but overlap operationally. |
| Confirmation | Immediate, staff-approved, or dependent on payment? | The app closes before the final response. |
| Changes | Who can cancel or reschedule, and until when? | A change is requested after the permitted window. |
SECTION 02
Example: two customers choose the last appointment
Imagine an in-person repair consultation with one available appointment. Both customers see the slot, but only one can reserve it. The backend must check and claim capacity as one controlled operation, not rely on the earlier screen. The other customer gets a clear alternative without being charged for an unavailable appointment.
If your flow temporarily holds a slot during payment, define when that hold expires. Also decide what happens if payment completes after expiry. An unresolved case should enter a staff queue rather than silently overbook or issue an unsupported refund promise. The booking and payment references must remain connected for investigation.
Start with one appointment type, one resource group, and one supported payment route. A responsive booking page may be sufficient initially. A mobile app becomes more useful when repeat customers need account history, regular bookings, device features, or a clear ongoing task beyond one checkout.
SECTION 03
Keep payment state separate from the calendar
Choose whether payment is required before confirmation, after staff approval, or at the visit. Show pending, failed, and successful payment states accurately. Do not mark an appointment paid because the app opened a payment page or received a button click.
Stripe's Payment Intents documentation describes a payment lifecycle and recommends reusing the payment record when an interrupted checkout resumes. It also discusses duplicate prevention. Use the selected provider's supported behavior, keep privileged credentials server-side, and test retries without creating a second charge or reservation. Provider availability and account access must be confirmed before promising integration.
SECTION 04
Make reminders useful when plans change
A reminder should point to the current booking and respect the user's notification preferences. If an appointment is rescheduled, invalidate obsolete reminder work. Opening an old notification should load the latest record and explain the change instead of showing an outdated time.
Firebase documents that message delivery can be delayed and that a time-to-live setting limits how long a message remains deliverable. That makes notification expiry part of a booking design, not merely an infrastructure setting. The appointment must still be visible in the app if push permission is denied or delivery never occurs.
For rescheduling, agree whether the old appointment stays reserved until the new one is confirmed. Keep a change history and tell staff which version is current. Any fee or refund decision should follow the approved business policy and payment workflow rather than generated text.
SECTION 05
Choose an agency that can demonstrate the exceptions
Ask candidates to explain the same last-slot scenario and show how they separate mobile screens, scheduling logic, payment, and staff administration. Compare a configured booking product with custom development before committing. Confirm account ownership and release support for the chosen Android or iOS scope.
At acceptance, staff should be able to find a booking, correct an authorized error, and resolve an integration failure. Agree monitoring, support coverage, and handoff documentation. Catapult can discuss a scoped mobile and backend implementation; the required calendar and provider connections depend on verified access.
SECTION 06
Frequently asked questions
Should we build a booking app or use existing scheduling software?
Test an existing product against your resource, approval, payment, and change rules first. Custom development is more justified when a defined workflow or integration cannot be supported reliably through configuration.
Can a booking app connect to our calendar?
Potentially, if the calendar provider offers the necessary interfaces and access. Define whether it controls availability or only receives confirmed events, and test conflicts and missed updates.
Can appointments be booked while the phone is offline?
The app may save a draft request, but it should not claim a live slot is confirmed without checking authoritative availability. Show the unsent or pending state and revalidate when connectivity returns.
