A chatbot can create several copies of the same conversation: a visible history, a support ticket, an error log and an evaluation sample. Asking an agency to delete the transcript may leave the other copies untouched. Begin with a record map and a purpose for each copy, then translate your approved policy into technical controls.

SECTION 01
Separate records with different purposes
Ask the agency to distinguish user-visible history from debugging events and staff case notes. A request identifier, time, result and failure category can often support troubleshooting without reproducing every message. Record whether a model provider, monitoring service or export receives content; provider configuration and contractual terms need separate review.
The retention decision should specify when the clock starts, what pauses removal, and how backups or queued exports are handled. Avoid a single unexplained duration copied across all systems. OWASP's logging guidance identifies secrets and sensitive information that generally should not appear directly in logs; redaction should be tested rather than assumed.
SECTION 02
Illustrative example: a pasted access credential
Suppose a visitor pastes an access token while describing a connection problem. The chat interface warns them not to share secrets, and the operational log receives a redacted version. The support queue stores the issue category and a reference rather than distributing the token to every agent.
The acceptance test checks each destination, not only the browser. It also checks an error path: an integration failure must not dump the original request into a diagnostic log. Redaction cannot reliably detect every possible secret, so the design still minimizes collection and controls access. A suspected exposed credential follows the business's incident process.
SECTION 03
Make expiry and access demonstrable
Create a test conversation with recognizable synthetic data, run its configured expiry process and inspect the dependent stores. Confirm what remains as a non-content audit record. Where immediate backup deletion is not supported, document the actual lifecycle and prevent a restore from silently reintroducing expired records into active use.
Test a support reader, administrator and unrelated user against the same transcript. OWASP recommends checking authorization on each request; hiding a navigation link is insufficient. Deliver a storage inventory, role matrix, redaction tests and removal runbook. Shorter retention reduces available troubleshooting history, so agree what aggregate or non-sensitive evidence remains useful before discarding everything.
SECTION 04
Frequently asked questions
What retention period should we use?
There is no universal period in this guide. Choose one based on the approved business purpose and applicable obligations, with qualified advice where needed.
Does redaction make a transcript anonymous?
Not automatically. Remaining details may still identify someone. Treat redaction as a specific control, not a blanket anonymity claim.
Can logs be kept after a conversation is removed?
Potentially, if their purpose and policy allow it. Specify exactly which non-content fields remain and verify that conversation text is not retained accidentally.
