A quote can change several times before a customer accepts it. If approval points only to the latest editable record, staff may later be unable to establish what was accepted. Treat a quote revision and its approval as related but separate records.

SECTION 01
Define which changes require another decision
Separate draft editing from issuing a quote. The issued version should preserve the agreed items, quantities, scope and relevant terms as presented. Your business decides which changes require renewed acceptance; the software should not silently infer that a smaller amount or different date is harmless.
Identify the person allowed to issue a version, the customer or staff role allowed to accept it and the point where it becomes superseded. Keep the original decision and any replacement decision understandable. Database relationships can ensure that an approval references a specific version rather than an undefined latest record. This is operational design, not advice about a document's legal effect.
SECTION 02
Illustrative example: another site is added after approval
Imagine a customer accepts a proposal for one office. Before work begins, they add a second site. Staff create a new revision with the extra deliverables and schedule. The earlier accepted version remains visible, but the added work stays pending until the authorized reviewer accepts the change. This is an illustrative workflow.
If the order system has already received the first version, the CRM creates a controlled change request rather than sending a duplicate new order. Staff can see which handoff succeeded and which change is awaiting a decision. A failed connection should not make the second version appear operationally accepted merely because the CRM saved it.
SECTION 03
Commission a small, traceable approval path
Start with one quote type, one issuing team and one downstream system. Existing quoting software may already provide revision and acceptance records; use supported configuration where it fits. Custom work should close a specific gap in scope representation, review or handoff.
Test simultaneous draft edits, acceptance of a superseded link, repeated confirmation and changes after handoff. Ask whether the customer can see exactly which version they are reviewing and whether internal notes remain private. Request an export of the issued version and decision history. Keep notification delivery distinct from acceptance, and make the next required action visible to the person responsible for resolving an outstanding revision.
SECTION 04
Frequently asked questions
Can an approved quote remain editable?
Keep later edits in a new draft or version. Preserve the representation linked to the original approval so its meaning does not change afterwards.
Does opening the quote prove acceptance?
No. Define a specific authorized decision and record it against the version. Viewing or receiving a notification is a different event.
Should a revision create another order?
Not automatically. If an order already exists, use an agreed change workflow and preserve the relationship to the original handoff.
