Build a Clear Order Pickup Workflow

Letting customers choose pickup is only the first step. Someone still needs to find the stock, prepare the order, tell the customer when to travel and record collection. A useful agency brief follows that operational sequence.

SECTION 01

Scope the staff workflow alongside the customer page

Ask your development agency to identify who prepares pickup orders, where those orders appear and what evidence marks them ready. Record opening hours, location names, practical access instructions and the process for an unavailable item. If stock moves between locations, the customer promise must allow for that transfer rather than displaying every unit as immediately collectable.

Shopify's pickup documentation shows that availability and transfers depend on location setup and supported store features. Verify those settings in the actual environment. A first release can use the platform's standard order and ready notifications, with clearer wording and tested staff procedures. A custom dashboard is unnecessary when staff can reliably complete the agreed workflow in tools they already use.

SECTION 02

Illustrative example: two shops and one reserved item

Imagine a cycling retailer with a city shop and a warehouse counter. A customer selects the city shop for a helmet stocked only at the warehouse. The checkout either offers a supported transfer-based pickup estimate or explains that the location is unavailable. It must not show the warehouse's stock as ready at the city shop just because both belong to the same business.

Once the helmet arrives, staff check the item and send a ready message with the correct collection address. At handover they verify the order using the agreed process and record it collected. If a friend will collect instead, the store needs a documented authorization route. The website should explain that route without publishing private order details to anyone who knows a customer's name.

SECTION 03

Accept exceptions before opening pickup broadly

Test a location change, a mixed shipping-and-pickup basket if supported, an item becoming unavailable during checkout and a delayed transfer. Verify that customers receive the selected location's instructions, not a generic headquarters address. Staff should be able to distinguish orders awaiting preparation from those ready for collection and those already handed over.

A missed pickup needs an owner and next action: contact the customer, hold the order, or follow the business's approved cancellation process. Agree these decisions before automating messages. Include notification retries and accidental double-clicks in acceptance checks. The handoff should leave a short operating guide, an escalation contact and a way to update hours without changing unrelated storefront content.

SECTION 04

Frequently asked questions

Can pickup use stock from another location?

Possibly, if the store supports transfers and the operational process is configured. Explain the additional preparation time to the buyer.

Should the order confirmation say ready?

Only when preparation has actually been completed. Normally confirmation and readiness are different events with different messages.

Do we need a separate pickup application?

Not necessarily. Start by testing the commerce platform's supported workflow against your staff responsibilities and exceptions.
