A reservation promises stock to a particular request without necessarily moving it physically. If holds never expire, available stock can appear exhausted. If they expire indiscriminately, staff may sell stock that an active order still needs.

SECTION 01
Give each hold a reason and an owner
Describe the difference between a temporary inquiry hold, an accepted order allocation and picked stock. Those states need not share one expiry rule. Record the requesting order, item, location, quantity and deadline. If staff may extend a hold, specify who has authority and whether another buyer's waiting request changes the decision.
Ask how concurrent requests are handled. A screen showing two available units can be stale by the time someone confirms. PostgreSQL's transaction and locking documentation provides implementation references for coordinating changes. The buyer's acceptance condition is simpler: under simultaneous requests, the system must follow the agreed allocation rule rather than create two promises for the same stock.
SECTION 02
Illustrative example: a hold expires during confirmation
Suppose a team reserves the last three units while a customer reviews an order. The customer confirms close to the expiry time. The expiry job and confirmation request can arrive together. This is a hypothetical race condition, not evidence of a client incident.
Choose a single recorded outcome: the reservation is confirmed, or it has expired and availability must be checked again. Do not let the interface announce success while the stock is already reassigned. Staff need to see the reason for the outcome and a practical next action, such as offering a later date, rather than an unexplained quantity error.
SECTION 03
Start with one reservation policy and prove recovery
An existing order or inventory product may be the right owner of reservations. A custom portal should request holds through that supported interface rather than maintain a competing stock total. If a custom stock module is justified, begin with one location and one allocation policy.
Test cancellation, expiry, partial dispatch, an administrator extension and an outage during confirmation. Verify that retrying the same operation does not create another hold. A reconciliation report should explain reserved quantities by their originating requests. Make overdue or orphaned reservations visible to an operator instead of treating a nightly cleanup script as the entire support plan.
SECTION 04
Frequently asked questions
Does reserving stock reduce on-hand quantity?
Not by itself. It normally affects availability while physical stock remains in place; agree the exact meaning in the owning inventory system.
Should every reservation expire automatically?
No. Temporary holds and committed allocations can need different rules. Define which order states permit expiry and who can override it.
What should happen after a timeout?
Check the recorded operation outcome before retrying. The system should not create another reservation simply because confirmation was not displayed.
