A product is easier to trust when customers understand how to leave. Exporting records, ending access and deleting eligible data are separate operations. Do not hide all three behind a button whose consequences are unclear.

SECTION 01
Separate membership removal from organization closure
A person may belong to several workspaces. Removing their membership from one should not close another customer's account or erase shared project records. Organization closure needs an authorized owner and a clear description of affected users, active jobs and connected services.
Decide which records and attachments belong in the export, how relationships are represented and whether the customer needs a readable format, a machine-readable format or both. OWASP's privacy guidance emphasizes transparent handling of user information. Your legal and retention obligations require separate review; the application should implement approved rules rather than claim that a generic delete action satisfies every obligation.
SECTION 02
Illustrative example: an account closes during an export
Suppose an owner requests a large project export and then starts account closure. The export is still generating. The product needs an agreed order of operations: finish the approved export, provide another recovery route or explain that closure will cancel it. This is a hypothetical lifecycle example.
The download should not become public simply because the account is closing. Its access and expiry remain controlled. A background integration should also stop creating new work for the closed account. Staff can see a closure that needs attention without restoring ordinary access or pretending that all data has already disappeared from every backup and external service.
SECTION 03
Test exit as a complete workflow
A first release can support one documented export format and a reviewed closure process. Automated deletion across many providers adds complexity; avoid promising it until the affected stores and exceptions are inventoried. A clear staffed process is better than a misleading instantaneous success state.
Ask the agency to demonstrate a non-owner request, an expired download, a member with another active account, a queued job and a connected provider failure. Reconcile the export to selected records and attachments. Publish accurate status language and keep an operational record of completed and pending actions. The handoff should identify who handles failed exits and how retained data is isolated from normal product use.
SECTION 04
Frequently asked questions
Does removing one user delete the customer's data?
It should not unless that is an explicitly authorized account-level action. Membership, ownership and organization closure need separate workflows.
Should exports be emailed as open attachments?
Consider the sensitivity and size. Protected downloads with defined access and expiry are often more controllable than broadly forwarded attachments.
Can we promise immediate deletion everywhere?
Only if the actual systems and approved retention requirements support that promise. Be explicit about backups, provider copies and pending processing.
